Ian and Robyn met to work on the WW plan - Robyn needs to create the structure which is planned for Thursday morning (our full day Thursday has become an afternoon)

We'll share when we need what and by Monday for the latest. We're thinking of doing a monthly report & milestone update, with Wednesday status updates to continue in Basecamp.

We'd suggest two checkin meetings per month which is an opportunity ask questions on anything we are stuck on / you are stuck on.

Contracting is under way and Unfold are applying changes to the site map & meeting with a few key people to discuss the edits to the site map which will inform the wireframe.

I was thinking (while going through your last Discovery invoice) that it would be great to also have a format for reporting on spend now that we're moving into the big bucks.  So perhaps a spreadsheet which lists all the priced tasks (as per the budget in the contract) and a column per invoice number that links each item billed for. Last columns for spend to date and balance.  This would give an easier big picture of where spend is happening and not and at what rate.  How does that sound?

Hi Jane Coombe, Strategic & Programme Consultant at Wordworks Jane thanks for your suggestion. We'd like to counter propose so that we don't spend a huge amount of time trying to create spreadsheets when we are tracking time and have tools to get us to a similar outcome.

We're loading all the different budgets separately into Clockify so its super clear what section we're working on - the line by line is too much because its high level so the detail of what we are working on that fits into that line item won't always be the same description. We can produce reports from clockify and write a summary for you so you understand what the work pertains to?

Sections going into Clockify for reference:

1. project management (all our checkin meetings, coordination of meetings, status updates, reports, tasks)

2. Wireframe and design (meetings, actual work and communication)

3. Initial technical dev set up (main site and resource hub)

4. Content structure and briefs

5. Main website and resource hub development

6. E-Commerce development

7. LMS development (including set up )

8. Testing and bug fixes (we'll specify what we are testing)

We'll track under these "umbrellas" and be as specific as possible with wording + write a summary to go with reports

How does that sound?

That sounds really good, thank you Robyn. Definitely was wanting to save time not make work - so this will be just fine I am sure.  If I can't make sense of spend during the process, I'll shout.. but it looks good to me.  Thank you. Clockify looks like something we should be using for our awful timesheets!!
