📈 12 November Agenda

  • Users on what's app - we know that you wanted What's app coms as you have those now, but what we didn't realise is that some people don't use email at all.
  • It is possible to login via Facebook with a phone number, would these users have Facebook accounts at all?
  • Ask Jane + Jacqui to map out the partner workflows in light of this information. Which comms is email only, email and SMS/WhatsApp, or SMS/WhatsApp only?
  •  Options :
    - All accounts require an email address, with phone number optional.
    - All accounts require either an email address or social login, e.g. Facebook. This is what we have now. Important to consider if this covers most use cases, and how we will manage communications if the user does not have an email address.
    - All accounts require an email, phone number or social login. Adds additional complexity to sign-on, but also possible.

Ian Parsons, Head Chef at Matogen Digital Ian feedback here - the chat went really well, peeps were very stressed so I told them that we would figure it out and explained where I think things were misunderstood - we didnt realise that some people don't have email at all ; I understand its a standard thing for people working in the NGO and in Rowen's case, homeless space - peeps also don't always have data so SMS has to be part of the process throughout - mapping the steps is not needed either because where we have email we need sms for these people - the templates will be different but we always need to consider both users.  Some might login via Facebook but we have to cater for all here.

Our main consideration is sign up and messaging around that and then off course the handover to Dashboard and LMS any coms that would typically happen via email should happen via sms if that's the profile we are dealing with

Roule will make some changes to the join us section to make this clearer for people to pick which way to go - obviously people might have both phone number and email so we want to try and get all the details but work where people want to work (some people have emails that they never use so the coms will be lost if you go with email to communicate to these folks)

Rowen has suggested and mentioned that she has been worried about the backend bits and is happy that this gap was found now, but she wants to talk through all the details - your information architecture document is likely to be a good source of truth to work through this but either way, we have a meeting about this on Friday next week when you are back. I'd suggest you finish that task when you get back as a priority so we can refer to it - what's app groups in the LMS is for the LMS part of the conversation but are there any considerations in this phase that may have a ripple affect and create a problem.

Both Jane and Rowen have said they mentioned no emails a few times and I explained that I believe we assumed it was a preference hence the Facebook and Google login solutions are with us for people who have forgotten their emails vs not actually having one.

We did not speak about costs or scope creep (you mentioned it was premature to do this as well) and both ladies say they did mention it in briefs etc _ I said there's a lot of detail so our understanding was different but we'll figure it out. I will check our docs etc - I checked the original RFP yesterday and it wasn't there but we have so many documents shared with us that its possible some stuff is in there

I have recorded the meeting so will share that with you when its ready

More to add here quickly Ian Parsons, Head Chef at Matogen Digital Ian   I think that things are going to fall behind because Jacqui is crucial to the project and has a very sick boy - he went in for a near burst appendix (10 years old) and then caught Covid in the hospital - he has a condition that he was born with that makes him very susceptible to getting sick (Jane said he was almost a tent child) so Jacs is at home now but on full time nursing him back to health. Her husband is also not well and has been in and out of hospital so Jane said they are trying to claw back time but its a tricky situation because of all of this - I will leave it be (don't want to be insensitive) but will gently check in again later this week
