Workshop planning

wrt (1) some adjustment to participants and (2) a request for a short pre-meeting re resource files. 

Thanks Jane I will have a look at this and start scheduling these next week (from the week of the 15th) If there's anything specific I need to keep mind, please let me know.   

I have noted the request to change the CRM session to 'in person' -
We can have the 'how files get organised convo' first and strip out that component from the second Resource hub section or would we need to cover it again?

Robyn , I wanted to respond to a comment I saw you had made (but now can't find) in which you red flag the number of hours required of Matogen by the planned consults with WW teams on platform decisions.  73 vs the contracted estimate of 32 hours.  I think we do need to 'do something' about this and am wondering if you and Rowen might talk about whether it would be more efficient in some cases for Rowen to lead the workshops with WW and feed back technical take-out for Matogen?  Also, in some cases it might be possible for us to take the discussion about internal workflow / roles and responsibilities out of the technical workshops in so far as they follow from rather than feed into the workshops.  

I don't think we'd need to cover the resource categorisation section again.  Once we have an agreement, we will do that work in sheets so the files are ready for upload.  What will link closely but still need attention is how site users encounter the resources. 
BTW - wanted to reply directly to your message above, but not finding that feature?

Jane I made the comment on email and pointed it out here as well so many channels for communication :) You did the comment correctly, if you want to edit your comment, you go to the the dots at the top but otherwise you are doing it right 

Jane I am happy to chat to Rowen   and see where it makes sense for her to lead the workshops and feedback the technical pieces of information to us - this will help with the cost and overall time - lets chat on Monday / Tuesday Rowen  feel free to share your calendar and I will grab a slot for us to work through the details.

I completely agree, Rowen, and hope we can keep the best of both worlds (engagement and efficiencies).  Unless Robin can cut costs somewhere else in this process ...

Jane & Rowen  lets chat and see what makes sense.  It's unlikely the cost will go down so please note that Jane. We do not have a lot of time allocated to other elements that also have outcomes we need to produce. We would however, have a better handle on how everything needs to work which should save time further down the line.

1. some thinking noted (in the google sheet for the workshop planning) after a meeting with WW website group.  We have planned what kind of inputs we want to make (teams will be preparing) and have asked for some more specific input in some cases, mostly around making the reasons for the preference of a tech platform visible
2. In terms of this, the team was very interested in the tech table that Rowen and Ian have been working at the end of this doc 240618 Plan for tech platform consultation with WW teams.  I am hoping it will be ready and that we can keep it 'present' in all the workshops as a reference doc?
3. Robyn  - we don't need any of these workshops to be face to face.  But we do anticipate workflow workshops may need us to be.
