the last coms with Anup involved - he seems to be handling what they are calling the "migration" I am going to remind Andy that this is the next step and that when the site is up and all content is loaded, we'd do another SEO check and help with testing to see that it matches the prototype
Laura H.
Yes! sorry, I didn't add links to existing google forms.
Robyn
Lau, dont worry, I think that's what you did so rolled with it!
Robyn
Laura Hurley Laura
looking at this so want to clarify what you did as I am trying to click on the membership form and its not working - confirm that you have just removed the pages and have not linked the google forms ?
Laura H.
Robyn Robyn
– here is the updated prototype with links where the forms were: https://xd.adobe.com/view/7f65505b-c7e1-46b0-8dd1-41c0900432ad-2a36/grid let me know if I've missed any, but I think I got them all.
Robyn
Laura Hurley Laura
I don't recall but its not on their design system and its not anywhere on the site - I had a quick check of the medical school and they have email addresses everywhere  - no forms that I can see either so think feel free to double check with Anup, but we'll prob need to update the pages to links - I think the Give section is university wide so not sure they have a say over that hence its the only one that has an actual form (I am guessing)
Laura H.
Robyn Robyn
 – From what I recall in the meeting with Anup he said they do embed forms, unless I misunderstood. But happy to revise the prototype and create a button that links out. Will jump on this in a bit. Just wrapping up Gikko work
Robyn
Laura Hurley Laura
that's what I am trying to say, they don't embed google forms, you are welcome to ask him but there's no look for it because they don't embed the forms - membership has a form, it links out to the form vs being embedded - see here https://med.umn.edu/clhss/about/membership I recall Andy saying forms are an issue for them usually so IT decides that forms need to work this way for simplicity I think
Laura H.
Let me know what you think :) I don't mind reaching out to Anup and asking him for an example of where they've embedded google forms on their sites.
Laura H.
Hey
Robyn Robyn
, I'm not against having the forms embedded (we have this embedded Give form) because it keeps visitors on the site. But, I think it's worth seeing an example of how it looks (had another look now and can't find any, though Anup said they do it), before making changes to the design. I also think this is a decision for the CLHSS team to make - do they want embedded forms or links to forms on another site? This decision will defos be an easier one with a visual of what the embedded form looks like.
Robyn
Hi
Laura Hurley Laura
 - I am thinking we need to change our prototype so that it links directly to the form vs being embedded on the page as they have it now on the site - I think the google form, even with styling is a bit odd to embed? not worrying about the functionality of what happens after the wesite, that is for them to figure out but our design is showing forms are still possible so I need to clarify that for the team - thoughts?
Laura H.
Sorry, I didn't get back to you on this yesterday Robs.
But as you say, it will not look like it is on the prototype but an embedded Google form. It shouldn't be an issue – as this is what Anup is prepared to go ahead with/their standard approach. We can customise the visual in Google Forms, like background colours, etc. But I am not sure if that is pulled in via an embedded section.

If I'm not mistaken, the functionality and how that flows through their pipelines will need to be decided between CLHSS and Anup. We can provide sections in the content docs for the required fields for each form.

I've looked for an example of an embedded Google Form on the Med sites, but I haven't seen one (there's sooo many to look through). We can ask Anup to send a link with a reference so the CLHSS can see, but they will have to go with that cuz that's what the IT team suggests and is prepared to go with.

The pages we've geared towards forms are:
Robyn

Robyn
like the member form
Robyn
That's why I am mentioning, we didn't say anything in the flag mail but I have started making notes on the content docs. - I will point it out to them on my next mail - we won't be able to deliver what's on the design so what is the impact of that - will you please check Lau - all pages with forms embedded will be an issue?
Laura H.
Hey
Robyn Robyn
! From my notes it was for all forms. But wonder if the CLHSSies are onboard with that..
Robyn
Laura Hurley Laura
quick memory check for me - Anup said that the team should keep using google forms. I don't recall if that was for all forms or just the ones that they want to pull into their workflow? I think it was for all forms but please let me know what you remember
Robyn
Laura Hurley Laura
Ian and I are going into this WW standup now - we'll join you with Anup but might be a minute late (will try not to)
Robyn
Well done
Laura Hurley Laura

Robyn
That's what I thought - yay!!
Laura H.
Robyn Robyn
Ian Parsons Ian
 – there is actually nothing custom on the CLHSS prototype, it is all constructed using the Med School design elements
Robyn
I can do that, yes :)
Ian P.
Maybe we can ask Anup to move the meeting 15 minutes later?
Robyn
I knew there was something I was forgettting -
Ian Parsons Ian
CLHSS invite from Anup, I would prefer keeping the time but will need to check in with Lindsay and team to see if they are happy for us to move forward without them - then I recon we cancel Tuesdays standup with WW or move it later - what do you think?
Robyn
no probs at all, easy to pick up when you work through every detail - not so easy when you look at the bigger picture so all good x
Laura H.
Ok sorted, those are hyperlinked to the Hub sites in the prototype now - rushing and not thinking! haha 🫣
Robyn
no probs! x
Laura H.
Ahh sorry, I'm not sure why those are linking tot he people pages! those hub links are linking to external sites. Let me quickly fix that, wont take long
Robyn
no probs!! x let me know if a quick chat will be easier x
Laura H.
Sorry I missed this, having a look now
Robyn
It feels like we should ask a question here but let me know your thoughts - I am obviously working on content so trying to work out what the intent with these hubs is when you click through
Robyn
The page you click through to is about people and not sure that Lindsay actually checked this (its very easy to miss and she is not getting notifications about your comments? https://xd.adobe.com/view/7f65505b-c7e1-46b0-8dd1-41c0900432ad-2a36/screen/c5e10097-3218-496d-9713-ca4906f2f28e/

Hey
Laura Hurley Laura
its me again - sorry about all the questions - this hub site thing feels a bit off to me xhttps://xd.adobe.com/view/7f65505b-c7e1-46b0-8dd1-41c0900432ad-2a36/screen/153358f5-3e85-490a-a3a4-7a634eba8e2b/ I think those sites are actual sites where this stuff is happening - I feel like its represented well but I am not sure about the page you have linked when you click through. It seems to be people focused and not sure if they actually want to link out to those people's websites or if they want to speak about the partnership with these people on the page -

On it :)
Robyn
no worries at all
Laura Hurley Laura
I asked because I thought it might have been a past idea - there's nothing like that on the site at the moment (but its likely there was something in the past) Lets get rid of that tab in publications and if they do have a relevant event it can be linked in the description like you had in your example (which I understand) Thank you, Lau! x
Laura H.
Also, the slide name is confusing (sorry) but this is a past event post: https://xd.adobe.com/view/7f65505b-c7e1-46b0-8dd1-41c0900432ad-2a36/screen/5364b82a-9543-447f-bf6b-1c3b16a8640e/ (I used the past conference as an example)

Laura H.
Sorry, with you now
Robyn Robyn

I guess, to provide more flexibility, I initially included links to past CQODE events in the 'Publications' tab. This was done because other programs didn't have such links, and adding a dedicated section for events in the template when only one program has it seemed unnecessary.
Later, Andy queried linking to the event on the page and I overlooked this earlier inclusion in the publications tab. And so, I implemented it as a simpler button in the description section, which has been approved.
Therefore, the 'Publications' section with a "Past events" tab is now redundant and can be removed to avoid confusion. Let me know if that makes sense and if I can quickly update that.
Robyn
we can chat if its easier
Robyn
so is that bottom tab supposed to keep people on the site or link out?
Robyn
i can see the link in the top that keeps people on the CLHSS site
Robyn
Robyn
Thanks,
Laura Hurley Laura
I understand the publication part but I am not seeing how past events is supposed to work - do they load it as a news post or what is the mechanism - if its linking out I am even more confused -
Laura H.
This links out to a publication on another site: https://ascopubs.org/doi/abs/10.1200/JCO.2023.41.4_suppl.684?af=R
Laura H.
Robyn Robyn
Publications are on all the programs. They have used different titles for similar content, so in an effort to standardise, I've used the term "Publications"

Past events - we have a button in the top section that speaks about a past event and takes you to a conference page - what is supposed to be populated in this tab here with publications

I am getting the brief ready for CLHSS (gaps that they need to fill) I saw something on this programme that does not exist anywhere else - it is not clickable so wondering if its a gap or how that part is supposed to work?
Robyn
Hi
Ian Parsons Ian
sure, no probs - I wasn't sure if you would look at the task hence I put time in to go over it with you - happy to move our chat to next week
Ian P.
Robyn Robyn
I won't be ready by Thursday with a list of content we need from CLHSS. Can we do that check-in the following week?
Laura H.
Thanks
Ian Parsons Ian
🙌 I hope that how I've done this allows for that flexibility, I believe it does. Adding buttons to link out to other pages in the body is as easy as adding links in text. I think that will solve the gap in this case. But perhaps that might not be clear enough and they could need support... unless we do some how-to guides.
Ian P.
Laura Hurley Laura
Robyn Robyn
 - for the most part the designs should allow for flexibility, so that when changes like these come in, they can handle it without having to change the design or request support from a developer
Robyn
for sure±
Laura H.
And as Ian mentioned we have budget, so if they struggle some we can help out/advise/offer to jump in and implement. But suspect these guys have a good ahndle
Laura H.
We'll wrangle this cat, and make sure Anup and co have a good idea of the vision
Robyn
Doing the content is always a good exercise, I really should start it sooner as it gives me more context - I have a better handle on this thang so we can chat nicely tomorrow x For consistency, we want the same type of information but there's prob some elements that will need to be left off where its not feasible (hidden or just not added like we build our drupal sites - optional sections vibe) Anyhow, same page, look forward to chatting tomorrow - it is a doozie of a site!
Laura H.
We could very well then, just do the same for testimonials.... but lets look at the bigger piccie tomrrow
Laura H.
Perfecto!! Yah, there might just be sections that will be empty, in which case the dev guys will need some instruction on making those sections "disappear" if not populated.. but was such a quandary - haha!
Robyn
Thanks Lau, I dont think you have done anything wrong, I think changes are happening quicker than the team are notifying us - I can see some of the project details within the programmes work, but some we'll need more input from them so we can align on that tomorrow and go to them for input. Some programmes don't seem to have project details and some have lots so for consistency we obv want them all having similiar details - lets check tomorrow, I have started an email with my questions so we can fire that off tomorrow after our chat x
Laura H.
Thanks
Robyn Robyn
! Let's defos chat tomorrow, but re the last note about the additional course, we can link to that in the program description like I've done with the CQODE program's past events, here: https://xd.adobe.com/view/7f65505b-c7e1-46b0-8dd1-41c0900432ad-2a36/screen/7d7e21bb-ae1f-42ca-9838-ae8c116f0a42/ but probably a good idea to add that into the design if that's the best approach. The idea and goal with all the programs was to keep them as consistent as possible, but there are naturally going to be some outliers, so we gotta think about these little bits. I will definitely have missed some things, sorry about that – it's a doozy.

intake process is not catered for and they speak about the services used vs the problems they are solving
Robyn
Robyn
we can look at it tomorrow but it also feels like some of these sections on the current site have changed so we can look at this and see if we need to adjust anything to cater for it https://med.umn.edu/clhss/activities/clinical-ai

no probs, I will grab some time for tomorrow - thank you! x
Laura H.

– No probs, I could also be reading this wrong. Can we look after standup tomorrow? defos need some lunch asap and then need to wrap up busy cards for gikko and GEMS efforts - so bitjie jam packed

👆
Robyn
do you have time today or shall I set up something for tomorrow?
Robyn
but not sure i am reading it right so going to set up time for us to go over this quickly
Robyn
I am going to grab some time for us to go over this as the way I am reading this, you made the comment and they are responding to your question vs giving you an instruction so not sure we are on the same page
Laura H.
Another option could be to bring in testimonials here, on the request our services page: https://xd.adobe.com/view/7f65505b-c7e1-46b0-8dd1-41c0900432ad-2a36/screen/12070530-9403-4904-be3e-f0ace12dd4b2/

I think they are trying to drive sign ups to the programmes which is prob why she wants testimonials - having a quick look ad getting my head around the hubs and what their purpose is
Laura H.
I'm also reluctant to add testimonials to the program template because then its 2 of 7 programs that need it.. not too sure
Laura H.
Laura H.
The only thing I didn't address, (nearly forgot actually) – she mentioned possible testimonials for 2 of the programs, but there isn't a space for testimonials in the template right now and feel including it there will also grow an already very populated page. We have a space on the contact page for testimonials, so thinking we should bring those in on the contact page, and link/highlight the program in the comment so people can click to view that program, or we could bring testimonials onto the home page?
Laura H.
Thanks
Robyn Robyn
:) So, on this page: https://xd.adobe.com/view/7f65505b-c7e1-46b0-8dd1-41c0900432ad-2a36/screen/153358f5-3e85-490a-a3a4-7a634eba8e2b/
She asked specifically to have the hubs more prominently highlighted. I've included a link list to each hub site below, but I think a content effort can also help here. i.e. having a list with each Hub named and a brief write-up about each in the description section. The hubs are mentioned there, but some text formatting (bolding words and names) can also draw attention easily.

I had a look at the prototype questions to see how to respond to Lindsay - are you happy for me to let Lindsay know we're working through the last of the comments and wll provide final feedback by tomorrow? I'd also like to tell her that her best course of action for forms and the integration of them with smartsheets is to chat to Anup? We'd usually take this on but we are not doing dev and I don't know what the rules are for integrating with a third party service like this - best to chat to the dev over there? Smartsheets seems to have its own form as well so they can chat to the dev team and see what makes the most sense?
